Project Administrative Assistant

Job Purpose:

· Deliver a comprehensive administrative support service to the Commercial Project Department.

· To be responsible for ensuring all spreadsheets and records associated with the projects are accurately maintained and administered.

· Act as the first point of contact for customers.

· Ensure customer needs are met and they receive maximum value from the business.

· Encourage early project planning, phasing, and forecasting.

Responsibilities include:

· Ensure project-related information is kept organised and up to date.

· Handle and resolve enquiries received via phone calls, and emails.

· Review projects to compare information from different clients and maintain folders.

· Provide support to the Project Sales team and Project Co-ordinator.

· Communicate with customers to obtain missing/required information.

· Verify DFAs against quotes prior to processing orders.

· Input orders accurately.

· Provide cross-cover for the Commercial department.

 

Estimator / Junior Estimator

Job Purpose:

· Effectively manage estimating projects and analyse data to produce accurate and compliant quotations for our customers, comprising of Main Contractors, Sub-Contractors, and Architects.

· To maintain a high level of customer service through timely and effective communication.

· Support a culture in which employees take pride in their work, are focussed on customer service, proactively address problems by finding long-term solutions, continuously look for ways to improve the way they work, take accountability for their actions, and treat each other with respect.

Responsibilities include:

· Produce quotations for projects using the EPICOR system.

· Maintain regular communication with external customers.

· Coordinate with internal departments to ensure the accuracy of information and timelines within the quotation.

· Complete pre- and post-sale quote amendments.

· Raise ‘drawings for approval when required ensuring accuracy and compliance.

· Address general technical enquiries regarding specifications, certification, and building regulations, referring to the technical team when required.

 

Junior Site Support

Job Purpose:

· To support the Senior Site Engineer/Site Engineer, in the maintenance and repair of doors to ensure optimal performance.

· Play a key role in upholding quality assurance by promptly lodging complaints for any reported quality issues or product failures.

Responsibilities include:

Assist in the following:

· Training customers to ensure proper installation of products and comprehensive understanding of installation procedures.

· Spot-checks on customer installations and those of “Approved Contractors” to ensure adherence to company quality standards.

· Conducting fault diagnostics on doors to identify issues.

· Conducting site visits to address concerns regarding installation quality, damage, or product failure, and recommend necessary remedial actions and associated costs.

· Performing minor repairs and adjustments to doors on-site as required.

· Participate in training sessions for door assembly and manufacturing processes.

· Provide assistance to the Production department as and when required.

 

Project Coordinator

Job Purpose:

· Drive the planning, management, and delivery of projects in line with the company’s strategy and values.

· Cultivate strong relationships with key contacts within project-based client businesses.

· Advocate early project planning, phasing, and forecasting.

· Maintain orderly and updated project-related documentation and information.

· Communicate with all relevant internal departments to ensure the effective and efficient delivery of project-based sales, including feedback for improvements.

Responsibilities include:

· Coordinate pre-contract supplier qualification responses for project-based sales.

· Handle project related information with confidentiality.

· Monitor customer accounts to ensure credit limit is sufficient for project size.

· Facilitate the processing of ‘quotations’ and ‘drawings for approval’ through internal support departments while managing client expectations.

· Manage the recording of ‘Status A’ DFA sign-off.

· Perform manual amendments of ‘drawings for approval’ – using AutoCAD Software.

 

Accounts Assistant – Purchase Ledger

Job Purpose:

· Responsible for accurate and timely management of all administrative aspects of the Purchase ledger.

· Optimise existing processes and implement an effective Purchase Ledger function within the business.

· Assist with the maintenance of cash books, associated administration, and all other accounting duties as and when required, providing cover for other finance team members.

Responsibilities include:

· Maintain and update Purchase Ledger within Epicor.

· Investigate and liaise with Purchasing department and Suppliers when required, to resolve billing discrepancies and disputes.

· Support in costing analysis.

· Ensure ledgers are closed and reconciled and reporting is completed in a timely manner at month end.

· Pro-actively develop solid relations with your counterparts at Supplier level.

· Where possible, along with purchasing, negotiate payment terms.

· Support Purchasing team on stock takes and WIP checks at month end.

· Act as payroll cover for Wages.
